Project Update: Sept. 14-25, 2015

The iNtegrate 2 Core Project Team continues to work hard at the NSHE-wide implementation of the Workday enterprise software.

 Project Director Pete Zipkin reminded Team Members last week that people inside and outside of NSHE and its member institutions are committed to ensuring the Project’s success, including some influential supporters. Chancellor Dan Klaich is working closely with Workday Co-Founder and Chairman of the company’s Board of Directors, David Duffield, who is also the Workday Executive Sponsor for our Project.

“The Number 1 focus of the partnership between Chancellor Klaich and Dave Duffield is to help make NSHE’s Workday implementation a great success,” Project Director Pete Zipkin told the Project Team. “In addition to the hard work we’re doing, there are people external to NSHE working on our behalf to ensure our success.”

Below are highlights of the Project’s accomplishments in the past two weeks:

Human Capital Management (HCM) Team

  • The HCM Team held intensive working sessions in Las Vegas and Reno on the topics of Absence (leave), Time-Tracking, Benefits, Talent and Payroll within Workday.
  • In keeping with the Working Project Guiding Principle of “commonly shared, standardized business processes” among all NSHE campuses, the HCM Team demonstrated an early prototype of the external career site that will be used for recruiting within Workday. While each campus will have an individually branded page with customized information specific to its employees, students and offerings, the look, feel and information categories will be standardized across all of our institutions. About 30 Project Team members and eight iNtegrate 2 staff members and consultants previewed the demonstration, and their reaction was overwhelmingly positive. The Team also received positive feedback on the revised Supervisory Organizational structure that will be created in the P1 tenant.
  • The HCM Project Team mapped most of the data conversion elements for the second prototype, known as “P1,” the online arena where Team Members will test and refine our configuration of Workday.
  • A training session using Workday’s “Report Writer” function generated five reports in prototype “P0,” our first prototype. Those reports are standard in Workday, including Payroll Processing. The Payroll Team began discussions with our consultants on building additional custom reports we’ll need.
  • We’ve reached out to our benefit vendors to begin loading participant data into P1, and SCS is extracting participant retirement savings and Flexible Spending Account (FSA) data to also load into P1.

 Finance Team

  • To further support the Project’s standardization guiding principle, the Finance Team continued developing a new system-wide Chart of Accounts, while Procurement Designees focused on creating the “Common Spend” category list.
  • The Team also met with budget representatives about position budget requirements, and with Finance, HCM and Facilities representatives about location requirements.
  • The Team worked on updating the Financial Data Model for each institution. Most institutions expect to meet the Oct. 9 deadline independently, while the Core Team will support institutions that want additional assistance.

Next Week/Upcoming

  • HCM REMINDER: Data Validation for the P1 build begins Oct. 2. All campus HCM data reviewers should test your access to our data validation site via file hosting service OwnCloud by Monday (Sept. 28). HCM Business Analyst Jim Lowe sent a detailed email to the Team regarding this work on Sept. 24.
  •  Workday Rising: Las Vegas, Sept. 28-Oct. 1. A number of iNtegrate 2 Project Team members will attend this annual conference that brings together representatives from the nearly 1,000 organizations now using Workday, including numerous higher-education institutions. Team Members will participate in training and workshops, and hear from experts on the best way to implement and leverage the software. Among the “real life” assistance NSHE institutions expect to get at Workday Rising are Payroll test script scenarios, which will aid our Payroll Team in creating our own testing process.
  • The next working sessions are scheduled for the week of Oct. 5 in Reno:
    • Finance: Security, Expenses, Procurement/Supplier, Financial Accounting, Projects, Banking, Assets, Customer Accounts, Grants/Effort Reporting, Endowments
    • HCM: Talent, Recruiting, Compensation, Benefits, Absence, Time Tracking
  • HCM will demonstrate the draft of our candidate application process within Workday and discuss its features and options on Oct. 8.
