Project Update: Oct. 12-16, 2015

PROJECT-WIDE

Campus Training
Training Coordinator Jo Ann Porter continues to prepare for the launch of training, which will begin after the first of the year and continue through “go-live.” When employees are trained depends on individual roles and the level of work within Workday their jobs will require.The training schedule will match the project plan, with many campus employees beginning training in May and June.

One of the most-recent steps Jo Ann has undertaken is creation of a Training Liaison group, a tactical group that will identify strengths, discuss assignment of training tasks, identify ways we’ll deploy electronic training materials, and create materials based on standard templates. The first meeting of this group will be Tuesday (Oct. 20) at UNLV, with videoconferencing available for Northern Nevada campuses.

A second training advisory group will be created later, and will be more strategic. It will be charged with identifying learning paths, developing campus-specific strategies, implementing the curriculum, and focusing on the training roll-out on each campus.

Procurement Training Communications
We will also be having a planning session this week with Campus Procurement representatives and Project Team members to create a communications plan to educate our suppliers about the Procurement module that will be part of our Workday implementation. The group also will discuss how to combine multiple contracts between different institutions doing business with the same vendor.

 

Holiday Breaks
Project organizers have scheduled breaks during the upcoming holidays to accommodate Team Members’ personal and family activities during that time.

HCM

Data Validation – The Business Analysts and Leads continue working hard with our programming staff and consultants to resolve logic and coding issues in the validation files. To this end, the Designees and Business Analysts last week conducted multiple rounds of testing. The Team also finalized the data validation issue reporting tool campuses will employ to report issues they find in the data.

Talent, Recruiting and Performance  Working Sessions continued last week in Reno.

FINANCE

Grants and Assets – Working sessions continued last week in Reno. Most Assets business processes have been configured per our Design Session work. The Team is now focusing on validating the Business Processes and will soon be testing them.

Financial Data Management – Addressed questions and concerns by campuses as they finalize their data for Prototype 1.

In addition, the Team prepared five additional “brainstorm ideas” for submission to Workday. Brainstorms are system enhancements requested by customers, partners or employees.
