Project Update: Nov. 30-Dec 11, 2015

The iNtegrate 2 Project Team continues to prepare for Prototype 1 (P1) Unit Testing in January and February. P1 is an important milestone in our implementation. Workday implementations are divided into five phases. Each of the first four produces a prototype, which began for us in April with “P0,” which included a very small subset of data. To prepare for P1, our institutions provided massive data files that will populate our Workday configuration once they are converted to work properly within Workday and validated as accurate, complete and consistent. P1 will provide the first meaningful test of our newly configured system and the conversion, validation and integration of our institutions’ data.

The data files we received from our campuses were in widely different formats maintained in our institutions’ often-different information systems. The Project Team has spent several months converting and then working with our institutions and implementation consultant Sierra-Cedar, Inc., (SCI) to review, correct and validate the converted files. As part of the conversion, the Team also created “crosswalks,” files and programs that ensure that our legacy data maps or links correctly to the corresponding values in our new Workday configuration.

The Finance and Human Capital Management (HCM) overviews below detail where each is at in their progress on P1.

P1 Unit 1 Testing Scheduled in January and February

Unit Testing for iNtegrate 2 will be happening in January (Phase 1) and February (Phase 1 and Phase 2).

In February, during Phase 2, select campus Subject Matter Experts (SMEs) and power users will be participating in the testing activities by exercising pre-defined testing scripts. These scripts are designed to thoroughly test our new business processes and generate feedback on what is working well as designed and what we need to adjust.

All testing will be held at SCS locations in Reno and Las Vegas. Phase 2 Testing will involve a focused commitment of time from the campus SMEs and power users.  Phase 1 Testing, which will be conducted by Core team designees and select SMEs will provide us with key information about the necessary schedule for Phase 2. We will publish the Phase 2 Testing schedule in late January.

 

FINANCE

  • After working with controllers at our institutions, the Finance Project Team this week delivered the initial structure of the new Workday Financial Data Model (FDM) to SCI for loading into P1. The FDM will allow NSHE and its member institutions to:
    • Consolidate varying financial information within Workday.
    • Maintain compliance with accounting rules and laws.
    • Produce detailed financial reports.

HUMAN CAPITAL MANAGEMENT

  • The HCM Project Team last week delivered validated data to SCI for upload into the P1 Tenant. SCI this week continued to populate the P1 Tenant with that data and to review it for compatibility and accuracy. SCI consultants have confirmed they have all of data they need and that what they received met expectations. The Project Team’s focus will now shift from validating the legacy extract data to Tenant Data Validation, or ensuring the data was formatted correctly.
  • Project Team members have written most of the hundreds of Test Scenarios for HCM P1 Unit Testing. They now turn their attention to scheduling, coordinating and organizing the testing.
  • In the upcoming week, the Project Team also will continue to finalize HCM’s Business Processes. Business Processes are the tasks or steps employees take to complete business objectives (i.e., hiring an employee, paying an invoice, granting leave, etc.). They are a critical component of any Workday configuration. Our HCM Team has created about 186-and-counting Business Processes.
