Project Update: Nov. 2-5, 2015

PROJECT-WIDE
Integrations: Integration is the process that connects different, often dissimilar, information systems (like the ones across our institutions), so that the data in each one becomes part of a larger, comprehensive system that shares data and works together. The Team last week worked to finish two templates we’ll use to drive Vendor Contact Information and Functional Contact Information (or the contact information for functional experts on each campus) that will be part of our integrations effort. As these templates are completed, we’ll forward them to respective functional team members to add known requirements. The goal is to have this step completed in the next three weeks, with functional requirements for these integrations completed by mid-December.
As we receive vendor contact information, we’ll send letters to vendors about the iNtegrate 2 project and request the file formats and documentation from them we’ll need to integrate with their systems. Those letters should be sent by the end of this month.


FINANCE
Working Groups worked on:

  • Procurement – Business Processes and routing rules for: Requisitions; Purchase and Change Orders; Request for Quotes; Suppliers; Supplier Invoices; and Independent Contractors.
  • Financials – Financial Data Models.
  • Grants – Data gathering conversion, and began data extraction from the Financial Advantage system and third-party party systems. However, because there’s limited data in Advantage, many institutions’ awards may need to be manually entered.

As the group works through setup and configurations, members also continue to identify test scenarios.


HUMAN CAPITAL MANAGEMENT

Designees and Business Analysts continued the Business Process review. Data Validation instructions are being formulated for the various files, which campuses will receive next week.

A small team of Subject Matter Experts is writing test scripts for unit testing. Meetings will be held in the next two weeks to discuss academic units and appointments and how we’ll obtain vacant positions for Prototype 2 when it is compiled. In addition, discussions continue on how to configure Workday to handle contracts and offer letters for various employee types.

Working Groups worked on:

  • Absence – Test scenarios.
  • Benefits and Payroll – Test scenarios and data validation.

UPCOMING EVENTS

  • Nov. 9-10 and 13: Finance Projects, Banking and Assets Working Groups – No single-site meetings this week. Meetings will be held via videoconference.
